HVAC Digital Marketing

Privacy Policy

This policy explains what we collect when you visit hvacdm.com, fill out a form, book a call, or text us, how we use it, and what you can tell us to do with it.

Effective September 16, 2026 · Last updated September 23, 2026

The short version. We collect what you give us on a form, on a call, or in a text, plus standard website and advertising data. We use it to answer you, to run and measure our own marketing, and to do the work if you hire us. We do not sell your personal information, and we never share your phone number or text-message consent with anyone else for their marketing.

Who we are

HVAC Digital Marketing is a brand operated by Digital Marketing Agency, LLC, an Arizona limited liability company with offices at 3838 N Central Ave, Suite 900-A, Phoenix, AZ 85012. In this policy, “we,” “us,” and “our” mean Digital Marketing Agency, LLC doing business as HVAC Digital Marketing. “You” means the person visiting the site or contacting us.

This policy covers hvacdm.com, our landing pages, our forms, our scheduling links, and the calls, texts, and emails that come out of them. It does not cover the separate privacy practices of the companies we work with or the sites we link to.

Information you give us

You give us information when you complete a form, request a Growth Audit, book a call, send a text, send an email, or talk with us. That usually includes:

  • Your name, company name, email address, phone number, and website address
  • Your city, service area, and the markets you want to reach
  • What you told us about your revenue, goals, current marketing, budget range, and what is in the way
  • Anything else you choose to put in a message, a form field, or a document you send us

If you become a client, we also receive the account and performance data you grant us access to, such as advertising accounts, analytics, call tracking, review platforms, and job or CRM software. That data stays in your accounts, in your name.

Information collected automatically

When you visit the site, our servers and the tools we use record standard technical information:

  • IP address, general location derived from it, browser, device type, and operating system
  • Pages viewed, time on page, links clicked, and the page or ad that sent you
  • Referring URL, search terms where the search engine passes them, and campaign tags in the link
  • Form starts, form completions, button clicks, and calls or texts started from the site

Cookies and similar technologies

We use cookies, pixels, tags, and local storage to keep the site working, to remember what you have already seen, to measure which pages and ads produce calls and form fills, and to show our ads to people who have visited us. The tools we use for this include Google Analytics 4, Google Tag Manager, Google Ads, Microsoft Advertising, Meta, LinkedIn, and the OpenAI advertising pixel.

You can block or delete cookies in your browser settings. Blocking them will not keep you off the site, though parts of it may not work the way they should. You can opt out of Google Analytics with the browser add-on Google publishes at tools.google.com/dlpage/gaoptout, and you can adjust ad personalization at myadcenter.google.com, opt out of interest-based ads from many companies at optout.networkadvertising.org and optout.aboutads.info, and change the ad settings of the other platforms above.

We use Google Ads remarketing and Google Analytics advertising features, including Google signals and demographics reporting. Third-party vendors, including Google, use first-party cookies (such as the Google Analytics cookie) and third-party cookies (such as Google advertising cookies) together to show our ads to people who have visited hvacdm.com, on Google Search, YouTube, and sites in the Google Display Network, and to measure how those ads perform. Visitor audience lists are kept for up to 540 days.

When you submit a form, a hashed (one-way encoded) version of your email address and phone number is sent to Google through enhanced conversions, and we may later upload the outcome of your inquiry, such as a meeting held, matched to the ad click that brought you. We do this to measure which of our ads produce real conversations.

Browsers do not share one standard for Do Not Track signals, so the site does not respond to them. We do honor Global Privacy Control, described below.

Calls, text messages, and recordings

When you give us your phone number on a form, in a text, or on a call, you agree that we may call and text you about your request and about our services. Message frequency varies. Message and data rates may apply. Reply STOP to any text to opt out and HELP for help. Opting out of texts does not remove you from email, and it does not affect anything else we are doing for you.

Text-message consent is never sold, rented, or shared with third parties or affiliates for their own marketing purposes. Your phone number and consent stay with us and with the vendors that deliver our messages.

We may record or transcribe calls and video meetings for notes, quality, and training. If a call is being recorded, we say so at the start, and you can ask us not to record.

Calls to the phone numbers in our Google ads and on some of our pages may be routed through Google forwarding numbers so we can see which ad produced the call. When Google call recording is on, Google records those calls and plays an automated notice at the start of the call.

Mobile information will not be shared with third parties or affiliates for marketing or promotional purposes.

How we use information

  • To answer your question, send what you asked for, and schedule or hold a call
  • To prepare a Growth Audit, next steps, or a proposal
  • To deliver, manage, and report on the work if you hire us
  • To send updates, reports, and occasional marketing email you can unsubscribe from at any time
  • To measure our own marketing, including which channels, keywords, ads, and pages produce booked calls
  • To improve the site, our content, and our services
  • To protect the site against fraud, abuse, and spam, and to meet legal, tax, and accounting obligations

How we share information

We share information only where it is needed to run the business or the work:

  • With the vendors and platforms that operate our site, forms, scheduling, email, phone, text messaging, analytics, advertising, storage, and billing
  • With the team members, partners, and network that deliver parts of client work under confidentiality obligations
  • With a platform where the account is yours and the work happens inside it, such as an advertising or analytics account set up in your name
  • Where the law requires it, such as a subpoena, court order, or lawful government request
  • To protect our rights, our clients, or the public, or to investigate fraud or a security incident
  • In connection with a merger, acquisition, financing, or sale of assets, in which case the information transfers with the business

We do not sell your personal information. Under California law, the advertising cookies and pixels described above may count as “sharing” for cross-context behavioral advertising. You can opt out of that at any time using the cookie and ad-settings choices above or by sending us a request.

How long we keep it

We keep inquiry and prospect information for as long as it is useful to the relationship, and client records for the length of the engagement plus the period our tax, accounting, and legal obligations require. When information is no longer needed, we delete it or strip what identifies you. You can ask us to delete yours sooner.

Security

We use access controls, encryption in transit, limited administrative access, and vendors that maintain their own security programs. No method of transmission or storage is completely secure, so we cannot promise absolute security, and we tell you that plainly rather than implying otherwise.

Your choices

  • Unsubscribe from any marketing email using the link at the bottom of it
  • Reply STOP to any text message to stop texts
  • Ask us to stop calling, and we stop
  • Block cookies in your browser, or use the opt-out links above
  • Email us and ask what we have, ask for a copy, or ask us to correct or delete it

Your privacy rights

Depending on where you live, you may have the right to know what personal information we have collected, to get a copy of it, to correct it, to have it deleted, to limit the use of sensitive information, and to opt out of sale, sharing, or targeted advertising. Residents of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, Montana, and other states with a consumer privacy law have these rights under their state statutes.

To make a request, email hey@hvacdm.com or call 844-448-2263 with the subject “Privacy Request.” We will verify who you are before we act, usually by confirming details we already hold. We respond within the time the applicable law allows, generally 45 days. You may use an authorized agent, and we may ask for proof of that authority. We will not treat you differently for exercising a privacy right.

If we deny a request, you can appeal by replying to our response with the word “Appeal,” and we will review it again and tell you the outcome and the reason.

Global Privacy Control

If your browser sends the Global Privacy Control signal, we treat it as a request to opt out of the sale and sharing of personal information for that browser, as state law requires.

Children

This site is built for business owners and operators. It is not directed to children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has given us information, email us and we will delete it.

Other sites and platforms

Our site links to other places, including scheduling, video, review, and social platforms. Once you are on one of those, their privacy policy governs, not ours.

Changes to this policy

We update this policy when our practices, tools, or the law change. The effective date at the top shows the current version. Material changes get a notice on the site.
